University Student Programs within Institutional Partnerships develop the next generation of STEM problem solvers through internship programs, student employment experiences, graduate research opportunities, and alternate student programming engaging over 1,200 university students annually across 30+ unique programs.
We invite you to apply for the University Student Operations Specialist position. In this role, you will be responsible for providing operational and technical support for the University Programs & Partnership Team, as well as the broader Institutional Partnerships Team, through administrative tasks and coordination of a number of business processes associated with the hiring of students and faculty. This hybrid position requires on-site presence a minimum of 2–3 days per week.
Responsibilities Include:
Perform tasks associated with the selection and hiring, on-boarding, and off-boarding processes for student programs, including but not limited to: assisting with designing student job postings on Argonne’s Student Job Board, as well as Handshake; matching potential students with hiring managers and troubleshooting pre-hire challenges for students; initiating background checks and drug tests and other pre-hire actions in compliance with policies, in collaboration with HR, Immigration, and Health and Employee Wellness teams.
Oversee tasks associated with supporting students during their appointment including managing the stipend-based payroll process for students, ensuring accurate processing, compliance with policies, and resolving payroll-related issues, and distribute approved announcements and memos related to student programs and opportunities, and generating Workday reports to track student and faculty placements across divisions.
Support the student recruitment process by managing all internal and external requests and questions about student and faculty programs; update departmental internal and external-facing websites, and attend career fairs and other recruitment efforts as needed.
Support University Programs and Partnerships and the broader Institutional Partnerships team with event preparation, facilitation, logistics, and materials updates for both team events and department led events.
Perform duties as assigned to support the broader goals of the Institutional Partnerships division.
Onsite work required 2+ days per week in Lemont, Illinois.
Position Requirements
- PA1: Minimum of a Bachelor's degree (in HR or Higher Education Program administration) and 0+ years of experience.
Preferred experience in HR settings, undergraduate/graduate systems, and providing support to students and faculty.
Experience using online application systems, cloud-based collaborative tools, and Microsoft Office.
Proficiency in Workday is a plus.
Department priorities include leveraging AI capabilities to increase efficiencies, AI experience a plus but not required.
Strong Interpersonal, negotiation, and customer service skills as well as the ability to establish a positive rapport with others.
Strong organizational skills with attention to detail; highly responsive.
Excellent writing and communication skills.
Ability to work in a dynamic team environment and manage multiple deadlines.
Ability to participate in evening and weekend programming.
