Argonne National Laboratory seeks candidates for an Administrative Assistant role within the Intellectual Property (IP) and Commercialization Organization.
Reporting to Argonne’s Chief IP and Commercialization Officer, the Administrative Assistant supports the laboratory’s IP and Commercialization group – a highly visible organization that advances Department of Energy’s science and technology partnerships and IP commercialization mission for U.S. economic security.
Main duties include:
Maintain and update databases of IP commercial agreements; ensure accuracy in record-keeping
Prepare and maintain various licensing related documentation and business system data, facilitate review and approval of checklists and questionnaires, with attention to detail
Draft, align, and circulate annual royalty cycle communications to licensees, track responses and reports received, draft and align with IP managers communications with licensees to foster long-term relationships
Assist with Laboratory’s and Department of Energy’s data calls and other audits to provide necessary IP and licensing related information
Develop and implement procedures on IP development and commercialization, contributing to operational efficiency and new hire training
Track project timelines, manage recurring weekly activities, and prioritize multiple deadlines to support the team’s goals
Schedule and coordinate IP development and decision group sessions, group, and cross-functional meetings.
Support travel arrangements, process expense reports and invoices.
Support vendor set-up and payments, ensuring adherence to budgetary guidelines for IP-related activities.
Position Requirements
Required skills, experience and knowledge:
Ability to provide administrative support for meetings, conferences, and workshops.
Organizational skills, ingenuity, creativity, and the ability to solve problems independently.
Skill and the ability to work on multiple concurrent projects in a fast-paced environment.
Interpersonal skills, oral and written communication skills, and ability to interact with people at all levels both within and outside the laboratory.
Ability to adapt to new procedures and technology.
Ability to work under minimum supervision and meet deadlines with accuracy and completeness.
Proficiency in Microsoft Office (Excel, Word, PowerPoint), including proofreading, redlines and revisions management.
Experience with corporate systems, including intellectual property management systems, procurement, business forms, travel arrangement, expense reimbursement, and meeting/conference approvals, stewardship of company resources and budgets.
Experience with intellectual property or contract matters in industry, government, academia, or law firm is preferred.

The selected candidate will be placed at the appropriate level (SA2 or SA3) depending upon the depth and breadth of relevant knowledge, skills, and experience brought to the position. The requirements for the desired levels are as follows:
SA2 Level: Highschool and 4+ years of relevant experience or equivalent and the expected pay range for this level is between $20.78 - $46.60
SA3 Level: Highschool and 8+ years of relevant experience or equivalent and the expected pay range for this level is between $25.59 - $39.92
