Argonne has an opportunity for an Admistrative Assistant that performs a variety of administrative activities and tasks supporting Environmental, Safety and Health (ESH) staff/teams deployed to various organizations at Argonne National Laboratory.
- Recurring tasks will include organizing availability, coordinating calendars, coordinating interviews across multiple organizations, and scheduling meetings (for ESH managers and for deployed organizations related to ESH tasks, when needed).
- Additional recurring tasks includes preparing travel arrangements, preparing correspondence and reports, supporting certification & membership renewals, filing, purchasing supplies, tracking supplies charged to deployed budgets, reviewing effort, and coordinating/submitting procurement packages for Deployed ESH Coordinators and line management.
- Assignments may include researching, compiling, tracking, and analyzing data/information from multiple sources and compiling into standardized spreadsheets/graphs.
- May utilize various types of software to compile and generate reports, spreadsheets, statistics, timelines, tables, graphs, correspondence and presentations.
- May recommend processes to enhance workflow and act as a backup for other administrative professionals supporting ESH.
- Supports and maintains ESH-related ISAAC roles for Deployed Safety Services (DSS) staff. Provides data and information to others on functional unit processes and procedures.
Position Requirements
- Demonstrated ability to schedule appointments, arranging meetings, coordinating onsite visits of others, and coordinating travel arrangements.
- Working knowledge of secretarial science, office practices and management, record keeping procedures, and English grammar and usage.
- Strong organizational abilities, setting priorities and handling multiple assignments simultaneously.
- Experience compiling data for various reports, composing correspondence, and proofreading and editing.
- Proficiency with personal computers, office-related equipment (e.g. printers), Microsoft Office programs, and Laboratory business systems.
- Ability to effectively schedule office activities and handle complex or sensitive situations.
- Effective oral and written communication along with strong interpersonal skills when interacting and communicating with a variety of internal and external contacts.
- Basic mathematical skills are required.
- Understanding of, and experience with annual budgets is preferred.
- High school diploma and 8+ years of related experience
