What You'll Do
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive and high-level support to the Office of the President and General Manager. This role requires exceptional judgment, discretion, and the ability to manage complex administrative tasks with a high degree of independence
Key Responsibilities
- Executive Support & Stakeholder Management:
- Manage the President's complex and dynamic schedule, serving as the primary point of contact for all communications
- Plan and coordinate all business travel arrangements
- Proactively resolve scheduling conflicts, prioritize competing demands, and adapt swiftly to changing priorities
- Independently manage a wide variety of complex and time-sensitive administrative tasks
- Draft and prepare correspondence, reports, and other documents, often handling sensitive and confidential information
- Interact effectively and respectfully with board members, high-level stakeholders, and internal teams, representing the President's office with professionalism
- Possess political acumen, understanding when to prioritize calls
- Operational Management:
- Receive, screen, and redirect incoming communications, identifying and escalating priority items
- Organize and coordinate meetings, events, and programs, including conference calls
- Recommend, interpret, and implement company and internal administrative policies and procedures
- Manage special projects, conducting research and drafting initial reports on administrative matters
- Assist in monitoring project progress and budget statuses, developing administrative mechanisms to meet productivity, quality, and customer satisfaction goals
- Administrative & Team Collaboration:
- Ensure all work is completed in a timely, professional manner with meticulous attention to detail
- Collaborate directly with division and project team members
- May prepare budgeting, project scheduling, and statistical reports as required
- Assist in the selection of administrative personnel
- Perform other duties as assigned to ensure the smooth operation of administrative business functions

Minimum Job Requirements
- High school diploma and minimum 10 years of relevant experience; OR
- Associates degree and minimum 7 years of relevant experience
Preferred Job Requirements
- 10-15 years of administrative experience
- Exceptional organizational and time management abilities
- Outstanding written and verbal communication skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- High level of discretion and ability to handle confidential information, both professional and personal
- Strong problem-solving and decision-making capabilities
- Demonstrated ability to interact at an executive level with board members and key stakeholders

Requires a Q clearance; however all qualified candidates will be considered regardless of their current clearance status. The ability to obtain and maintain a Department of Energy Q clearance is required.
Position may require entry into Materials Access Areas (MAA) and participation in the Human Reliability Program (HRP). If HRP is required, candidate must complete a counterintelligence-scope polygraph, pursuant to 10CFR 709. Medical requirements may apply.
