Under minimal supervision and with a considerable degree of initiative, the Experimental Operations and Facilities (EOF) Division Executive Assistant performs a wide range of administrative activities, often of a confidential or sensitive nature. The EOF Division Executive Assistant provides administrative support for the EOF Division Director and other leaders in the EOF Division to coordinate activities and provide essential support. This role involves handling complex assignments by gathering and summarizing significant information and data using independent judgment and initiative.
Position Requirements
Organizational skills to prioritize workloads, manage multiple assignments, and solve problems creatively and independently.
Knowledge of administrative support practices, record-keeping procedures, and proficiency in English grammar.
High attention to detail.
Ability to prioritize workloads and competing priorities.
Ability to follow Laboratory policies, practices, and procedures.
Effective oral and written communication, with strong interpersonal skills for engaging diverse contacts.
Skill in coordinating calendars, scheduling appointments, arranging meetings, planning workshops and conferences, and coordinating onsite visits for others.
Experience in preparing complex international and domestic travel plans and expense reports.
Adept at proofreading, editing reports, and taking meeting notes.
Skill in inventorying and tracking company property.
Skill in coordinating procurement packages and processing purchase orders.
Knowledge of Microsoft Office Suite, including Word, Excel, and PowerPoint, with the ability to effectively utilize these tools for daily tasks and reporting.
Knowledge of Visio for flow chart creation is desired.
Familiarity with FMAX is desired.
