Overview:
Oak Ridge National Laboratory (ORNL) is the largest US Department of Energy science and energy laboratory, conducting basic and applied research to deliver transformative solutions to compelling problems in energy and security.
We are seeking a proactive and organized Domestic Uranium Enrichment Centrifuge Experiment (DUECE) Project Coordinator to support Project Managers in the execution of complex, multi-phase infrastructure projects in Enrichment Science and Engineering Division. This role is focused on coordination, procurement tracking, documentation management, and stakeholder engagement. The Project Coordinator plays a key role in aligning internal and external resources, managing project logistics, and maintaining project momentum through detailed tracking and cross-functional collaboration .
This position resides in the Systems Process and Assurance Section and will report to the Document Control and Records Management (DCRM) Group Leader.
ESED serves the nation in two critical areas: advancing enrichment technologies and exploring stable isotope production and applications. The division leverages an elite staff of scientists and engineers with the world-leading capabilities of ORNL to deliver groundbreaking advancements with a variety of applications, from national security to life-saving medical treatments.
ESED is the national steward for the research, development, and demonstration of enrichment technologies. The successful candidate will provide support for research and development, documentation, and system administration within a division that supports multiple projects and programs.
The DCRM Group provides division-wide services in support of the strategic advancement of science and technology focused on the research and development of prototype enrichment devices for processing uranium-bearing and stable isotope compounds.
Major Duties/Responsibilities:
Project Planning & Coordination:
- Support planning, scheduling, execution, and closeout of multi-phase projects
- Collaborate with facility operations, engineering, and maintenance teams to coordinate internal and external resources
- Assist in risk and issue tracking, ensuring timely flagging and follow-up with project managers
Meeting/Collaboration Coordination:
- Coordinate critical interface meetings between the project and stakeholder activities across the Project
- Track and maintain interface matrices and action checklists
Procurement & Vendor Tracking:
- Submit and monitor procurements and follow up on delivery status
- Coordinate with procurement staff and vendors to ensure timely delivery and resolve issues
- Track the use of external vendors and support contracts
Submittals & Approval Routing:
- Manage preparation, submission, and routing of submittals for internal and external reviews
- Track approval workflows to ensure timely responses and maintain document version control
Task and Action Tracking:
- Monitor project deadlines and deliverables
- Coordinate with task owners to maintain schedule alignment and accountability
Reporting and Communication:
- Compile Monthly Reporting data using Bl tools and P6 reports, SAP reports, etc.
- Prepare and distribute weekly and monthly project progress updates and executive summaries
- Capture meeting notes, converting them into clear action items and summaries
Document Management:
- Organize and archive project documentation (e.g., PMP, monthly reports, stakeholder lists, comms plans)
- Maintain version control and ensure accessibility of key documents to the project team
Stakeholder Management:
- Act as a liaison between the PM team, project teams, and other departments to ensure alignment and collaboration, as necessary.
- Facilitate regular meetings and maintain communication channels to keep stakeholders informed
- Help identify and resolve issues or conflicts during project execution
Basic Qualifications:
- BS or BA degree and 3 years of experience in project coordination, project controls, or a similar role in a technical, facilities, or infrastructure environment.
- Familiarity with project planning tools, procurement systems, and documentation workflows.
- Strong organizational skills and attention to detail.
- Effective communicator with the ability to coordinate across teams and departments.
Preferred Qualifications:
- Proficiency in Microsoft Office Suite (Excel, Teams, Word), SharePoint.
- Experience with Bl tools and basic project management reporting.
- Understanding of project life cycle phases, institutional controls, and construction or facilities project environments.
- Ability to hold and maintain a DOE security clearance is required.
