The University Programs Business Process Coordinator within Institutional Partnerships supports the development of strategic partnerships with academia to build the STEM workforce.
We invite you to apply for the University Programs Business Process Coordinator position. In this position, you will be responsible for facilitating the daily workflow and associated data collection for our University Student and Joint Appointment (Faculty) Programs which are comprised of approximately 2000 participants annually. With this opportunity, you will be a key contributor in the effort to take our business processes to the next level using AI and help to launch a suite of data visualizations to highlight our program success stories.
This is a temporary position through the end of the 2026 calendar year with potential for extension based on funding.
The position is hybrid and an on-site presence is required 2-3 days per week.
Responsibilities include:
Facilitates application process of the University Student and Joint Appointment (faculty) programs including the Workday Recruiter process, applicant and user technical support and triaging email inbox inquiries regarding the programs and procedures
Interacts with fellow business staff and operations divisions across the Laboratory regarding student or faculty process inquiries to drive process efficiency and consistency
Enhance and manage the university student and faculty data dashboards to ensure transparency and alignment with program reporting requirements
Maintain internal and external web pages and content updates for University Programs
Identify opportunities for process improvement and implement using automation and AI
Contribute to the analysis of Program data and curate survey instruments and data visualizations that drive program improvement and growth
Position Requirements
- PA2: A Bachelor's degree in business administration, or related, with a minimum of 2+ years of professional experience in implementing business processes for student/faculty appointments or equivalent.
- Strong organizational skills with excellent attention to detail and proficiency in data entry, data analysis and compliance oversight.
Excellent written and verbal communication skills, time management, customer service and interpersonal skills required.
Proficiency in using online application systems, cloud-based collaboration tools, and enterprise business systems, including experience with platforms such as Workday, PowerBI, and Argonne business systems.
Advanced proficiency in Microsoft Office applications, including Excel for data analysis, reporting, dashboard development, and use of advanced formulas and functions.
Experience leveraging data systems and visualization tools to support program management, operational efficiency, decision-making, and reporting.
Department priorities include leveraging artificial intelligence capabilities to improve operational efficiency and effectiveness; experience or familiarity with AI literacy concepts (e.g., AI for Operations), generative AI tools, and prompt engineering is preferred.
Demonstrated experience of working within a high-functioning matrixed team and within a dynamic environment managing multiple, competing deadlines.
