The Applied Materials Division (AMD) at Argonne National Laboratory is seeking an Administrative Assistant candidate. The Administrative Assistant, under supervision and with a degree of initiative, will provide administrative support while performing a wide range of administrative activities and tasks. This individual will ensure the administrative activities and tasks are performed in a timely manner and are often of a confidential or sensitive nature. The successful candidate will handle complex assignments using independent judgment facilitating effective and efficient flow and processing of information and work associated with daily operations as assigned.
Duties may include the following:
Preparation of reports, slide decks, regular business communications (letters, memos, etc.)
Process proposal reviews, foreign national access requests, rigging requests, shipping orders, property passes and gate passes
Calendar management, arranging conferences and onsite visits
Preparing foreign and domestic travel arrangements and processing expense reports
Serve as Division Property Representative
Other duties as assigned
This Administrative Assistant will provide support, along with the divisional administrative support team, reporting to AMD Deputy Director of Operations, and will also work with the Directorate Office administrative support team.
Position Requirements
Knowledge of administrative support and office practices.
Demonstrated interpersonal, oral and written communication.
Ability to interact diplomatically and tactfully with people at all levels both within and outside the laboratory.
Ability to be flexible with the potential to work with many groups in the division and directorate.
Ability to think quickly when managing difficult situations.
Strong organizational and time management skills, including the ability to prioritize, organize and handle multiple assignments simultaneously in a fast-paced environment, while being detail oriented and using sound independent judgment to accomplish tasks.
Analytical, problem solving and decision-making skills to resolve problems independently with incomplete or conflicting data.
Knowledge, skills, and experience using advanced features in editing documents, with Microsoft Office Suite (Word, Excel, and PowerPoint) and Adobe Acrobat.
Skills in arranging and coordinating meetings, workshops, conferences, on-site visits, and managing both domestic and international travel.

This position requires an on-site presence at the Argonne campus in Lemont, Illinois, five days per week.

Other: To perform the essential functions of this position successful applicants must provide proof of U.S. citizenship, which is required to comply with federal regulations and contract. Illegal drug testing as defined in 10 CFR 707.4 and a background investigation will be required prior to employment.
Preferred Qualifications:
Knowledge of Laboratory policies, practices, and procedures.
Ability to quickly learn internal enterprise planning systems; however, knowledge of Laboratory systems such as PARIS for procurement, Concur, XINK and Workday, Concur for travel/reimbursement, FAVOR for processing foreign visitor requests, and Box is a plus.
