Job Description
Savannah River National Laboratory is inviting applications for the position of Administrator to support the Chief of Staff (CoS). The Administrator will be responsible for working with the Chief of Staff to ensure the Lab Director’s Office (LDO) runs efficiently, effectively, and consistently. The Administrator will report to the Chief of Staff.
Responsibilities
- Liaise with cross functional teams within the organization and external parties to ensure efficient workflow
- Provide other analytical and specialized support to relieve and assist the CoS with administrative details and duties, such as completion of expense reports, assignment of recurring data calls, creating reports, exchanging correspondence, and proofreading documents
- Establish and maintain effective working relationships with internal and external contacts (including DOE, DOE contractors, Battelle, etc.).
- Manage all domestic and international travel, including reservations, conference registration, transportation, and expense settlements for the LD and CoS.
- Coordinate associated logistics for Leadership Team meetings, retreats, and offsites
- Triage emails, memos, and other correspondence and provide responses in coordination with the CoS
- Maintain control of business sensitive and confidential files.
- Prepare all official correspondence in accordance with established lab guidelines and ensure completion of all required reviews and approvals prior to LD signature; maintain control of business sensitive and confidential files
- Provide coverage for the CoS
- Able to make decisions with limited oversight that include the prioritization of workload under time constraints
- Work with the CoS for surge support when needed
- Showcase utmost discretion and maintain confidentiality, both internally and externally, with a strong commitment to the implementation and perpetuation of values and ethics
- Must possess the ability to maintain a consistent work schedule during core hours to meet needs of staff
- Serves as a resource for the CoS
- Must be able to work on multiple tasks in a limited amount of time in a fast-paced environment and the ability to set priorities appropriately to accomplish multiple tasks
- Provide thoughtful and tactful communications, while treating others with dignity and respect, while maintaining the highest levels of confidentiality.
- Demonstrated task-management skills that involve planning, anticipating deadlines, and the ability to flawlessly assimilate and manage significant amounts of information and detail
- Excellent written communication skills, with knowledge of professional correspondence (i.e., letters, memos, and emails); must be well organized and detailed oriented
- Demonstrated leadership in office management and administration, with ability to anticipate issues before they arise and develop contingencies to allow for quick pivoting
- Reinforce effective corporate governance by ensuring meaningful engagement and proper alignment with the Battelle Executive Group and Board of Directors.
- Maintain a strong commitment to the Lab’s core values and safety principles.
- Deliver SRNL’s mission by aligning behaviors, priorities, and interactions with our core values.
- Maintain a professional office atmosphere; greet and receive visitors (in person, over the phone, and in writing) in a professional, courteous manner.
Qualifications
Minimum Qualifications
- Bachelor’s degree in business, Communication, English, or related field and 10 years of Executive support experience.
- For ability to obtain and maintain a security clearance, US Citizenship is Legally Required
Preferred Qualifications
- Advanced Degree
- Active DOE clearance
- Proficient computer skills and a working knowledge of software packages, including Adobe Acrobat, Microsoft Suite: Word, Excel, Outlook, and PowerPoint.
