Overview:
We are seeking a Program Support Assistant who will support the Director of Isotope and Enrichment Projects. This position resides in the Isotope Science and Engineering Directorate, at Oak Ridge National Laboratory (ORNL).
Major Duties/Responsibilities:
- Manage schedules and meetings, including establishing priorities for Project Director.
- Support the Project Director in preparation and submission of review documents, proposals, quarterly reports, annual reports, highlights, and any other requested information, including checking all for proper inclusion of necessary elements, formatting, and other issues..
- Coordinate and arrange logistical aspects of program or project reviews.
- Track, coordinate, and follow actions/responses for the Project Director to ensure timely completion.
- Coordinate and prepare domestic and international travel requests, including reservations, conference registration, transportation, and expense settlement according to ORNL guidelines.
- Assist Project Director and staff in coordinating visits, including coordinating travel according to ORNL guidelines, coordinating site access, and setting and managing agendas and seminars.
- Make administrative decisions and judgements within the scope of responsibility and authority, using tact and discretion.
- Create requisitions and purchase orders based on appropriate ORNL guidelines.
- Work on multiple tasks in a limited amount of time in a fast-paced environment.
- Maintain DOE directives/standards and training requirements.
- Set priorities appropriately, anticipate needs and requests, and be able to meet changing deadlines.
- Establish and maintain effective working relationships with internal staff members and external contacts (including DOE, other government agencies, DOE contractors, universities, sponsors, vendors, suppliers, etc.).
- Maintain a consistent, reliable work schedule during core hours to meet needs of staff.

Basic Qualifications:
- A high school diploma and 7-10 years of relevant experience or an Associate’s Degree and 5-7 years of relevant experience.
- This position requires a high degree of expertise and job dedication in office functions, administrative work, attention to detail, and time management gained through experience in prior positions.
- Must possess excellent interpersonal, oral, and written communication skills and maintain professionalism in a demanding environment
- Proficiency with Microsoft Office (including Outlook, Word, Excel, PowerPoint, Teams, OneNote, and OneDrive)
- Demonstrated organizational skills
Preferred Qualifications:
- Active Q clearance preferred
- Current or previous ORNL experience
- Motivated self-starter with the ability to work independently and to participate creatively in collaborative teams across the laboratory.
- Ability to function well in a fast-paced research environment, set priorities to accomplish multiple tasks within deadlines, and adapt to ever changing needs.
- Customer Relationship Management Experience
Special Requirements:
Q clearance: This position requires the ability to obtain and maintain a clearance from the Department of Energy. As such, this position is a Workplace Substance Abuse (WSAP) testing designated position. WSAP positions require passing a pre-placement drug test and participation in an ongoing random drug testing program.
