Pay Range
$35.98 - $43.67 Hourly
Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education, experience, the external labor market, and internal equity.
Job Description
We are looking for an
Administrative Specialist to support key staff members within Space Science & Security Program (SSSP), a mission critical Intelligence Program. You will be an integral part of your team's business operations and activities and the force that drives them towards achieving their goals. To resolve operational and administrative needs and ensure your team’s success, you will need to anticipate possible roadblocks and contribute solutions for execution. You will need to be adaptable in a dynamic environment to strategically support your team's projects. In addition to being well-organized, your strong communication skills will be needed to interact with a variety of people.

In this role, you will
- Perform an extensive array of complex and difficult administrative tasks (e.g., manage calendars, book global travel, process expense reports, arrange meetings and coordinate complex security requirements).
- Act as a focal point for multiple program areas, represent key staff members in daily matters and respond on their behalf to all levels of management.
- Prepare classified and unclassified correspondence, reports and presentations using data from multiple sources.
- Independently solve problems of broad scope and complexity.
- Research and interpret organizational policies and procedures.
- Perform other duties as assigned.
Qualifications
- Experience providing high-quality and professional administrative support to managers or multiple staff members within a fast-paced team environment.
- Experience working independently under time constraints to meet critical deadlines.
- Excellent communication skills to effectively collaborate with a diverse range of people and job functions.
- Excellent organizational skills, with careful attention to detail and the ability to handle multiple priorities.
- Demonstrated problem-solving and decision-making skills, mature judgment, flexibility, and reliability.
- Advanced computer skills and experience using Microsoft Office, email and calendaring applications.
- Experience compiling, tracking, monitoring, resolving, and reporting data and results.
Qualifications We Desire
- Experience working with LINCS as a TRR and/or willingness to become a TRR for the program.
- Experience handling and protecting classified information.
- Experience arranging complex clearance requirements in a variety of settings.
- Ability to obtain and maintain appropriate security in a Sensitive Compartmented Information (SCI) environment and ensure all tasks are performed in accordance with elevated security requirements.
- Experience interpreting and applying LLNL policies and procedures.

Security Clearance
This position requires a Department of Energy (DOE) Q-level clearance. Also, you must have the ability to obtain and maintain Sensitive Compartmented Information (SCI) access. If you are selected, we will initiate a Federal background investigation to determine if you meet eligibility requirements for access to classified information or matter. Also, all L or Q cleared employees are subject to random drug testing. Q-level clearance requires U.S. citizenship.
Pre-Employment Drug Test
External applicant(s) selected for this position must pass a post-offer, pre-employment drug test. This includes testing for use of marijuana as Federal Law applies to us as a Federal Contractor.
Wireless and Medical Devices
Per the Department of Energy (DOE), Lawrence Livermore National Laboratory must meet certain restrictions with the use and/or possession of mobile devices in Limited Areas. Depending on your job duties, you may be required to work in a Limited Area where you are not permitted to have a personal and/or laboratory mobile device in your possession. This includes, but not limited to cell phones, tablets, fitness devices, wireless headphones, and other Bluetooth/wireless enabled devices.
If you use a medical device, which pairs with a mobile device, you must still follow the rules concerning the mobile device in individual sections within Limited Areas. Sensitive Compartmented Information Facilities require separate approval. Hearing aids without wireless capabilities or wireless that has been disabled are allowed in Limited Areas, Secure Space and Transit/Buffer Space within buildings.
