Pay Range
$35.98 - $43.67 Hourly

Job Description
We are looking for an
Administrative Specialist IV to support the Critical Infrastructure Cybersecurity Associate Program Leader within the Cyber and Infrastructure Resilience (CIR) Program. Within Global Security’s Energy and Homeland Security (E) Program, the CIR Program mission is to enhance the security and resilience of the nation’s critical infrastructure systems and networks to cyber, physical and environmental hazards; and enable their reliable and sustainable design and operation now and into the future. You will be a key member of the CIR Program’s administrative team delivering solutions that enable the program to achieve objectives. You will be adaptable in a dynamic environment to strategically support various projects and functions. Under minimal supervision, you will be responsible for planning, developing, and coordinating a wide range of advanced and diverse administrative activities, typically with changing variables and multiple components. In support of this Program, you will collaborate and partner with the Program Leader, Associate Program Leaders and technical staff members.
You will
- Represent the Critical Infrastructure Cybersecurity Associate Program Leader in administrative matters to all levels of management, both internal and external to the Laboratory exercising a high degree of discretion and mature judgment in handling business sensitive information, as well as personnel interactions, and respond on their behalf to gather, clarify, and disseminate information and coordinate activities.
- Act as an administrative support primary point-of-contact for the Critical Infrastructure Cybersecurity Associate Program Leader and programmatic staff managing complex calendars; independently determining scheduling priorities, managing time, and coordinating and scheduling multiple attendees.
- Organize and coordinate on-site and off-site meetings, and external visits to sponsors, including preparation of agenda, badging, passing and/or verification of security clearances, information dissemination, and following foreign national hosting guidelines.
- Coordinate and provide logistical support for the cybersecurity intern program, including hiring support, onboarding, intern event planning, and offboarding.
- Provide project specific support such as compiling monthly sponsor reports, tracking deliverables, participation in operations and strategy meetings, submitting procurement requests, etc.
- Arrange complex domestic and foreign travel and itineraries, coordinating and rescheduling as priorities evolve and change, and process reimbursements.
- Independently assess and respond to inquiries, prioritize actions, follow-up and ensure resolution on a wide variety of issues.
- Generate correspondence on own initiative and compose correspondence for management signature which may be sensitive in nature.
- Perform other duties as assigned.
Qualifications
- Ability to secure and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
- Excellent organizational skills, attention to detail, accuracy, follow through, and reliability. Experience working under minimal supervision, in a multitask environment of rapidly changing priorities, deadlines, and frequent interruptions.
- Excellent customer service skills, communication, and interpersonal skills necessary to interact effectively and collaborate with a diverse workforce and represent the organization with all levels of management, internal and external to LLNL, using tact, diplomacy, and discretion.
- Demonstrated problem-solving and advanced decision-making skills necessary to identify and make recommendations for administrative issues.
- Experience working effectively as a team member as well as independently.
- Ability to be self-motivated and exercising a high degree of discretion and mature judgment in handling business sensitive and/or classified information, as well as personnel interactions.
- Advanced computer skills and experience with Microsoft Office Suite and the ability to learn new software quickly.
Qualifications We Desire
- An active Department of Energy (DOE) Q-level clearance or active Top-Secret clearance issued by another U.S. government agency at the time of hire.
- Experience coordinating large visits and/or events including agendas, logistics, meeting locations, visitor access, etc.
- Experience with arranging domestic and/or foreign travel.
- Knowledge of the following LLNL business applications: TIME, LEAP, LAPIS, LINCS, LTRAIN, Cliqbook, ePay, eCAPS, Confluence, MS Teams, and/or LC Computing.
- Understanding of classified matter protection and control policies and procedures.

Security Clearance
This position requires a Department of Energy (DOE) Q-level clearance. If you are selected, we will initiate a Federal background investigation to determine if you meet eligibility requirements for access to classified information or matter. Also, all L or Q cleared employees are subject to random drug testing. Q-level clearance requires U.S. citizenship.
