Mission Support and Test Services, LLC (MSTS) manages and operates the Nevada National Security Site (NNSS) for the U.S. National Nuclear Security Administration (NNSA). The NNSS Experience, Enrichment, & Empowerment (E3) team is seeking a highly organized and professional Administrative Specialist II. Reporting directly to the Manager of E3, the Administrative Specialist II will provide comprehensive operational and coordination support to ensure the successful execution of E3 programs, meetings, and department-wide initiatives. The department operates through structured planning, coordinated execution, and disciplined processes that support workforce programs across NNSS. This role ensures operational continuity by maintaining organized systems, managing documentation workflows, and supporting the timely execution of departmental activities.

Duties And Responsibilities
General
- Using discretion and independent judgment, assists in planning, coordinating, and directing a variety of office management functions within the department related to business and technical operations, processes, programs, and projects.
- Conduct research, prepare analyses of operating budgets and/or fund allocations and expenditures, compile data, and prepare reports for consideration and presentation by manager.
- Using discretion and independent judgment, read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
Coordination Support
- Manage and coordinate calendars for E3 leadership.
- Schedule and coordinate internal and external meetings across NNSS locations.
- Prepare and distribute meeting agendas and supporting materials.
- Coordinate conference rooms, virtual platforms, and logistical needs.
Meeting & Documentation Support
- Record, prepare, and distribute accurate meeting minutes.
- Maintain organized records of meeting documentation and action items.
- Support preparation of briefing materials and reports.
Operational & Program Support
- Manage departmental supply orders and maintain inventory.
- Provide general administrative support.
- Maintain electronic and shared file systems in accordance with NNSS records management requirements.
- Provide cross-functional support to other E3 programs and initiatives as needed.
- Accept individual responsibility and accountability for environment, safety, health, and quality.
- Comply with established regulations and procedures for environment, safety, health, quality and perform.
- Participate in and embrace MSTS environment, safety, health, and quality initiatives.
Qualifications
Due to the nature of our work, US Citizenship is required for all positions.
- Bachelor’s degree in related field and at least 2 years’ of professional level experience, which provided a sound working knowledge of administrative policies and procedures, or equivalent training and experience.
- Knowledge of business and management principles involved in planning, resource allocation, human resources, and coordination of people and resources.
- Skill to understand the implications of new information for both current and future problem solving and decision-making.
- Able to utilize independent judgment, creativity, and initiative to resolve problems and ensure that requirements are completed efficiently and on time.
- Able to apply knowledge of principles, concepts and theory related to professional business discipline/field related to the position and employ a systems approach to address issues and to define and resolve problems.
- Able to apply knowledge and experience to compose correspondence and technical reports, and accomplish goals where established procedures may not be specific.
- Able to exercise discretion and sound judgment in performing work and contribute recommendations for improving operations/processes.
- Ability to observe, receive, and otherwise obtain information from all relevant sources.
- Desire to adopt new technology and the ability to leverage and maximize existing technology.
- Must be highly organized and able to develop specific goals and plans to prioritize, organize, accomplish work, and meet required deadlines.
- Must possess excellent interpersonal skills and ability to communicate with people inside and outside the organization, representing the organization to customers, the public, government and other external sources in a tactful, professional, and effective manner while screening and maintaining confidentiality.
- Ability to develop constructive and cooperative working relationships with others, and maintain them over time.
- Able to remember extensive policies, procedures, terminology, schedules, personnel, and other details.
- Able to use software applications needed in the position, including Microsoft Suite and general office equipment.
- Able to deal with pressure of handling multiple tasks, complaints, frequent interruptions, and time constraints.
- Strong command of grammar, spelling, and punctuation.
- Knowledge of basic math.
- The primary work location will be at the Losee Road facility in North Las Vegas, Nevada.
- Work schedule for this position will be 4/10’s, Monday – Thursday (subject to change).
- Pre-placement physical examination, which includes a drug screen, is required. MSTS maintains a substance abuse policy that includes random drug testing.
- Must possess a valid driver’s license.
Ability to obtain a HSPD-12 Personal Identity Verification credential under the Department of Energy Order 206.2, ‘Identity, Credential, and Access Management,’ and Supplemental Directive NNSA SD 206.2, ‘Implementation of Personal Identity Verification for Uncleared Contractors.’

Annual salary range for this position is:
$65,249.60 - $97,884.80.
Starting salary is determined based on the position market value, the individual candidate education and experience and internal equity.
