Overview:
The Office of Integrated Performance Management is seeking a Document Management Analyst to develop, review, and deploy laboratory-level documents in the Standards-Based Management System (SBMS), provide support for users of the Enterprise Document and Record Management (EDRM) system for controlled documents, advise staff on compliant document control practices, and assess laboratory-wide compliance with document control requirements.
Major Duties/Responsibilities:
SBMS Support
- Partner with management system staff to develop new or revised SBMS documents using business process analysis tools for deployment of external and internal requirements.
- Apply SBMS Style Guide, Procedure Professionals Association (PPA) training, and Chicago Manual of Style to support users’ understanding.
- Develop and publish SBMS documents using html coding and business process analysis tools.
- Advise management system staff on potential issues and resolutions, efficiency gains, integration and streamlining activities, improvement opportunities, and deployment deadlines.
- Communicate with management system staff on effective change management practices (such as development teams) and facilitate involvement of stakeholders from various organizations.
Document Management Services Support
- Mentor laboratory staff to achieve excellent document management performance.
- Train staff on document management principles and use of applications.
- Develop and deliver workshops and communication tools to staff to ensure SBMS and document control requirements and processes are communicated.
- Participate in assessment teams to evaluate compliance with document management requirements and use the Assessment & Commitment Tracking System to enter issues.
- Recommend and support marketing strategies to improve staff engagement in SBMS, EDRM, and document control.
- Benchmark with Battelle’s Management System Deployment community of practice (CoP), DOE Policy Management CoP, and other entities as necessary to implement best practices, streamline internal processes, and participate in demonstrations of applications and tools.
- Develop and deliver internal procedures related to organizational practices and support methods.
Application Support
- Participate in the evaluation, development, and implementation of a strategy for the future SBMS structure and application that meets stakeholder needs.
- Manage the enterprise-level document management system as document control coordinator (DCC) administrator to troubleshoot system issues, provide customer support to DCCs, and test updates for release.
- Assess effectiveness of document management tools and processes and make recommendations to achieve continuous improvement.
- Facilitate focus groups and work with system programmers and the User Experience team for improvements to document management applications.
Basic Qualifications:
- BS degree in business, english, technical editing or related field with at least five years of experience.
- Experience in business process analysis and procedure writing or a combination of education and experience.
- Exceptional written and oral communication skills, analytical skills, computer skills, and interpersonal skills.
- Demonstrated ability to solve complex problems and work independently.
Preferred Qualifications:
- Professional-level training in technical editing, procedure writing, process analysis, and change management is preferred.

Security, Credentialing, and Eligibility Requirements:
- This position requires the ability to obtain and maintain an HSPD-12 PIV badge.
- For employment at Oak Ridge National Laboratory (ORNL), a Real ID compliant form of identification will be required.
